Scout & Phone Assistant Terms of Use
Last updated: September 29, 2026
Scout (the chat helper on wheelchairgetaways.com) and our automated phone assistant (together, the “Assistant”) are provided by Accessible Vans of America, LLC, doing business as Wheelchair Getaways (“Wheelchair Getaways,” “we,” “us”). The Assistant helps you find wheelchair-accessible van rental locations in the Wheelchair Getaways network, check indicative availability and pricing, answer common questions, connect you with a location, and, where this feature is available, submit a quote request or reservation request on your behalf. By using the Assistant, you agree to these Terms and to our Privacy Policy.
1. You are talking to an automated system
The Assistant is powered by artificial intelligence, not a person. Its answers are generated automatically from our location directory, live rental-system data, and help content reviewed by our team. These sources may be incomplete or out of date, and the Assistant can misunderstand you or make mistakes. You can ask to be connected with a location team at any time, or email us at info@wheelchairgetaways.com.
2. Prices, availability, and requests are not confirmed until the location confirms them
- Prices are estimates before taxes and fees, not bookings. They remain estimates until the rental location confirms them as correct. Availability shown by the Assistant has not been reserved for you.
- A quote request or reservation request submitted through the Assistant is a request to the rental location, not a confirmed rental. A rental exists only when the rental location confirms it to you in writing.
- The Assistant cannot guarantee a vehicle, a price, a one-way rental, delivery, or any policy exception. Any promise, agreement, or commitment the Assistant appears to make is not binding. Always confirm details with the rental location.
3. Network locations are independently operated and set their own terms
Many locations in the Wheelchair Getaways network are owned and operated by independent partner companies. When the Assistant shares a link, gives you a location’s phone number, transfers your call, or submits a request for you, you are dealing with that location. The location sets its own inventory, rates, deposits, insurance and driver requirements, cancellation and change policies, and rental terms, and those terms govern your rental.
4. Quote and reservation requests through the Assistant
Where this feature is available, the Assistant can submit a quote request or a reservation request for you. To do so it may ask for:
- For a quote: your name, email address, phone number, rental dates, and ZIP code.
- For a reservation: all of the above, plus your date of birth; street address, city, state, and country; driver’s license number, issuing state, and expiration date; and your auto insurance company and policy number.
Before submitting anything, the Assistant will summarize your request so you can review and correct it, and it will submit only after you confirm. By asking the Assistant to submit a reservation request, you also agree to our Terms and Conditions, which apply to bookings made through Wheelchair Getaways. Your request is passed to the rental location and our reservation system so the location can respond to you.
The Assistant never takes payments and will never ask for payment card or bank details. Payments are made directly to the rental location.
5. Calls and chats are transcribed and reviewed
Phone calls with the Assistant are transcribed (converted to text); we do not keep audio recordings of calls handled by the Assistant. Chats are stored. We and our service providers use transcripts to answer and route your request, to help the location you are connected with serve you, for quality review (including automated review), to train our staff and improve the Assistant, for security and fraud prevention, and to meet legal obligations. If you do not want your conversation transcribed, please end the call or chat and use the booking and quote forms on our website or email us instead.
6. Don’t share sensitive information the Assistant doesn’t need
Please do not give the Assistant medical or disability details, payment card or bank numbers, Social Security numbers, or passwords. The Assistant never needs them. Only provide driver’s license and insurance details when the Assistant asks for them as part of a reservation request.
7. Texts and emails
If you ask the Assistant to text or email you something, or you opt in to messages, the consent language shown to you at that point applies, together with our Mobile Terms of Service. Reply STOP to any text to stop receiving texts.
8. Acceptable use
Use the Assistant only to get help with accessible van rentals and related Wheelchair Getaways services. Do not use abusive or harassing language; send spam or automated traffic; try to disrupt, overload, reverse engineer, or extract data from the Assistant; try to get around its safeguards or make it say things it shouldn’t; impersonate someone else; or break any law. We may limit or end access for anyone we reasonably believe is misusing the Assistant.
9. Don’t repost answers as fact
Because the Assistant’s answers may be wrong, you may not present them to others as statements or commitments by Wheelchair Getaways or any rental location.
10. Age
You must be at least 18 years old to use the Assistant. Rental age and driver requirements are set by each location.
11. Emergencies
The Assistant is not an emergency service. In an emergency, call 911.
12. Changes
We may update the Assistant or these Terms at any time. The “Last updated” date above shows the current version. Continuing to use the Assistant means you accept the changes.
13. No warranties
THE ASSISTANT IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE FULLEST EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, AND NON-INFRINGEMENT, AND WE DO NOT PROMISE THE ASSISTANT WILL BE UNINTERRUPTED OR ERROR-FREE.
14. Limitation of liability
To the fullest extent permitted by law, we are not liable for indirect, incidental, special, consequential, or punitive damages arising from your use of the Assistant, and our total liability for any claim relating to the Assistant is limited to $100. Some jurisdictions do not allow these limits, so they may not apply to you.
15. Governing law and disputes
These Terms are governed by the laws of the State of Michigan, without regard to its conflict-of-laws rules. Any dispute relating to the Assistant or these Terms will be brought in the state or federal courts located in Kent County, Michigan, and you and we consent to their jurisdiction. Either party may instead bring an individual claim in a small-claims court that has jurisdiction.
